Staff App Privacy (for Hockey’s Farm team members)

This section applies to Hockey’s Farm team members who use the Hockey’s Farm Staff app, in addition to the policy above. The data controller is Hockey’s Farm Shop Ltd (address in section 10). The app is for staff use only and requires a valid account to sign in.

What we collect and why: your name, work email, role and team, to give you an account and the right access (based on your employment contract and our legitimate interests in running the business); training records such as items assigned, completions and quiz results, to assign, deliver and evidence required training (legal obligation and legitimate interests); bookings you create or change and till or loyalty actions you perform, for operational and audit purposes (legitimate interests); and your device notification token and preference, to send work notifications you opt into (consent, which you can withdraw in the app).

On-site clock-in (not enabled at launch): when this feature is switched on we will also process your date of birth to confirm identity at a shared clock-in device, your location at the moment you clock in to confirm you are on-site, and your clock-in and clock-out times and timesheets to record hours worked. We will update this notice and complete a Data Protection Impact Assessment before enabling those features. At launch the app does not collect location, clock events or timesheets.

Storage and sharing: staff data is held in our secure backend (hosted on Supabase in the UK or EU), encrypted in transit, with access limited by role. Notifications are delivered via Expo’s push service (device token only). We do not sell your data or use it for advertising. We may share it with HR or payroll systems and professional advisers where necessary to manage your employment.

Retention and your rights: we keep staff data for the duration of your engagement and for as long afterwards as we are required to (for example working-time and training records), then delete or anonymise it. You can ask to access, correct or delete your data, object to or restrict certain processing, and withdraw notification consent in the app at any time. Contact us using the details in section 10, or complain to the Information Commissioner’s Office (ico.org.uk). The Staff app is for employed team members and is not directed at children.
